Share a runbook or workflow by link
Share a process with your workspace, or with anyone, such as an auditor or a contractor, opening on its runbook or its workflow.
Click 🔗 Share link on the process's page, or in the Studio's Runbook or Workflow tab.
At the top of the panel, Links open chooses what people see first: the Runbook or the Workflow diagram. The links you copy (and the embed code) follow that choice. Either way, the shared page has both tabs, so people can switch.
People in your workspace
Copy link gives a link anyone signed in to your workspace can open, whether or not they can design processes. Once the process is published, the link shows the published version; changes still in the Studio appear after you publish them. People who aren't signed in are asked to sign in first.
Anyone with the link
To share outside the workspace, an owner or admin clicks Turn on. The link is copied straight away.
- Anyone with the link can read the runbook, with no account. It isn't listed anywhere or indexed by search engines.
- It shows the published version of the process (or the draft, if it was never published).
- Stop sharing turns it off: the old link stops working. Turning it on again creates a new link.
- The link also stops working if the draft is deleted or the workspace is closed.
Important: Only share processes this way if it's fine for anyone who gets the link to read them.
To show the runbook inside your own website or tool, see Embed a checklist on your website.
